When planning a private flight, start with the place you actually need to reach. A meeting address, hotel or home can be more useful than a preferred airport name. The final transfer is part of the travel time.

Tell the planning team whether you have a fixed arrival deadline or a flexible day. A clear distinction helps evaluate the whole itinerary rather than concentrating only on the time in the air.

Compare suitable airports

Some cities have several airports within reach of the same final destination. Their suitability depends on the aircraft, operating arrangements and your schedule. The most familiar name is not automatically the best fit for every journey.

London offers business aviation options such as Farnborough, while Paris–Le Bourget serves the Paris business aviation market. In each case, the final address and operational requirements should guide the comparison.

Give the transfer a place in the brief

Include the number of travellers, bags and any larger items when discussing the vehicle after landing. For an itinerary with several appointments, explain whether the car is needed only for an airport transfer or for further journeys.

If your flight connects with another travel arrangement, specify its timing. The planner can then identify the points that need coordination and the margins you would like to allow.

Check the final itinerary

Before departure, make sure the airport, terminal or handling location, meeting point and onward arrangements are clear. The person organising the ground journey should be working from the same itinerary as the air travel team.
